Terms and Conditions.

The terms for business use of the Short Stay Control website, controlled demo and subscription service.

1. Who we are and who these terms cover

Short Stay Control is a software product operated by Floodlight New Marketing Ltd, a company registered in England and Wales under company number 08613994, with its registered office at 116 Station Road, Chinnor, England, OX39 4QG. Floodlight New Marketing Ltd is the contracting and payment entity. Its VAT registration status is not yet confirmed. Contact: support@shortstaycontrol.com for help, billing@shortstaycontrol.com for invoices and payments, privacy@shortstaycontrol.com for data requests.

These terms are intended for businesses and professional serviced-accommodation operators, not consumers. The person creating or administering a workspace confirms that they are authorised to accept these terms for that business.

2. The service

Short Stay Control provides portfolio, profitability, receipt, operational and management-control tools that work alongside supported property-management and business systems. The features included in a customer's service are those stated on the selected plan and order confirmation.

Short Stay Control is not an accounting, tax, legal, investment or regulated financial-advice service. Customers remain responsible for reviewing information, approving actions and obtaining professional advice where needed.

3. Accounts and authority

Customers must provide accurate account and company information, protect sign-in credentials and promptly remove access from people who no longer need it. A workspace administrator can invite users, allocate roles, connect services and make billing decisions for the organisation.

The customer is responsible for the actions of authorised users and for confirming that it has the necessary rights and lawful basis to supply data to the service.

4. Price and billing period

The subscription is a rolling one-month plan, paid monthly in advance. The monthly price depends on the number of properties: GBP 29 includes up to two properties, each property from 3 to 15 costs GBP 12 and each property from 16 costs GBP 9. The property count, the monthly total and the date of the first payment are displayed before sign-up. Every new subscription starts with a 14-day free trial: the payment card is taken at sign-up and nothing is charged until the trial ends.

Customers who subscribed before this price was introduced keep the plan, price and any introductory commitment they agreed to. A three-, six- or twelve-month introductory commitment already agreed does not renew for another discounted fixed term. At its end, it changes to the standard rolling monthly price then in force unless the customer cancels before the conversion date. We will provide advance notice of the date and monthly price.

Plan prices cover Short Stay Control only. Property-management systems, payment providers, messaging services, AI model usage and other third-party services may have separate terms and charges where disclosed.

5. Payment

Payments are processed by Stripe for Floodlight New Marketing Ltd. Short Stay Control never receives or stores full card details. Card statements will show SHORT STAY CONTROL. Subscriptions are charged monthly in advance in pounds sterling and renew automatically until cancelled.

Prices and the checkout page state whether VAT applies. The customer must keep its payment method up to date. If a payment fails, we email the billing contact and Stripe retries the card. If it is still unpaid 3 days after it failed, the workspace is paused until payment is made: every screen except Plan & Billing is closed. Data is not deleted while a workspace is paused, and access returns as soon as the payment goes through.

6. Cancellation

A workspace administrator may cancel at any time from Plan & Billing without calling support or obtaining approval. Cancellation switches off automatic renewal immediately and access continues until the end of the current paid term.

Cancelling a three-, six- or twelve-month commitment before its end prevents conversion to standard monthly billing. After conversion, the customer may cancel any future monthly renewal at any time. The service will show and email the final access date.

7. Refunds

Charges are normally non-refundable after the relevant paid term starts. Cancellation ordinarily stops the next renewal rather than creating a pro-rata refund for the current term.

We will correct or refund duplicate or incorrect charges, charges taken after an effective cancellation, unauthorised charges, and amounts that must be refunded by law. A full or proportionate refund may also be appropriate where a material failure to provide the contracted service could not be corrected within a reasonable time. This does not affect rights that cannot legally be excluded.

8. AI-assisted features

AI-assisted features may summarise permitted information, answer questions or propose actions. Outputs may be incomplete or wrong and must be reviewed by an authorised person before reliance or external action.

The assistant may explain cancellation or collect optional feedback, but it will not replace or delay the direct cancellation control, make final refund decisions, or require a reason before cancellation.

9. Integrations and customer approval

Connections to Hostaway or another service require customer authority and valid credentials. Third-party services remain governed by their own contracts and availability. Unless a feature explicitly says otherwise, a proposed correction or recommendation is not an instruction to an external system until an authorised person approves it.

The controlled sales demo uses synthetic information and cannot write to a live property-management system.

10. Acceptable use

  • Do not upload unlawful material or data you have no right to process.
  • Do not probe, disrupt, reverse engineer, scrape or bypass access controls.
  • Do not share personal demo links or credentials with unauthorised people.
  • Do not use the service to infringe another person's rights or make unlawful automated decisions.

11. Customer data and privacy

The customer retains its rights in customer data. Floodlight New Marketing Ltd processes personal data as described in the Privacy Notice and, where acting as a processor for a customer, the applicable Data Processing Agreement.

Our processing of customer data is governed by the Data Processing Agreement at shortstaycontrol.com/data-processing-agreement/, which forms part of these terms.

After a paid term ends, an administrator can export the workspace data for 30 days. Customer data is then deleted, except invoices and payment records, which UK tax law requires us to keep for 6 years. Backup copies are overwritten within 14 days. If you close your workspace during a free trial, it is deleted within 7 days and no export is provided.

12. Intellectual property

Short Stay Control, its software, designs, documentation and product content remain the property of Floodlight New Marketing Ltd or its licensors. During an active subscription, the customer receives a limited, non-exclusive, non-transferable right to use the service for its internal business operations.

13. Availability, support and changes

We take reasonable care to keep the service available and secure, but we do not guarantee that it will be uninterrupted or error-free. Where we can, we give at least 48 hours' notice of planned maintenance that interrupts the service. Support is by email at support@shortstaycontrol.com on UK working days. We may improve or change features, but we will not remove the core service a customer subscribed to without reasonable notice.

We may increase the subscription price no more than once in any 12 months, and by no more than 5% each time. We will email the billing contact at least 30 days before a new price applies. A customer who does not agree may cancel from Plan & Billing before the new price takes effect and will not be charged it.

14. Suspension and termination

We may suspend access where reasonably necessary to protect the service or other customers, respond to unlawful use, address a serious security risk or manage overdue payment. Where practical, we will explain the reason and provide an opportunity to correct it. Overdue payment is handled as set out in section 5.

Either party may terminate for a material breach that is not corrected within a reasonable notified period. Immediate termination may be appropriate for an irremediable serious breach. Termination does not remove payment obligations already accrued.

15. Liability

Our total liability to a customer, whether in contract, negligence or otherwise, is limited to the subscription fees that customer paid in the 12 months before the event giving rise to the claim.

We are not liable for loss of profits, revenue, business, goodwill or data, or for any indirect or consequential loss. Short Stay Control supports decisions; customers remain responsible for checking figures before relying on them.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

16. Governing law, contact and contract documents

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Formal legal notices go to the registered office at 116 Station Road, Chinnor, England, OX39 4QG. Day-to-day support is at support@shortstaycontrol.com.

The contract consists of the checkout confirmation, these Terms, the Data Processing Agreement, the Privacy Notice and the Cancellation and Refund Policy. If they conflict, the Data Processing Agreement prevails on data protection, and these Terms prevail on everything else.
