Trust centre · cancellation and refunds

Cancel from Plan & Billing, whenever you want to.

How to stop a Short Stay Control subscription, what happens to your access and data afterwards, and when a refund may be available.

1. Who this policy is for

Short Stay Control is supplied by Floodlight New Marketing Ltd, registered in England and Wales under company number 08613994, with its registered office at 116 Station Road, Chinnor, England, OX39 4QG. It is intended for businesses and professional serviced-accommodation operators.

Read this policy with the Terms and Conditions, the Privacy Notice and, where one applies, the Data Processing Agreement. Nothing here removes rights that cannot legally be excluded.

2. The subscription

The subscription is a rolling one-month plan. The monthly price depends on how many properties you run, and the property count and monthly total are shown before you confirm payment.

We may increase the price no more than once in any 12 months, and by no more than 5% each time. We email you at least 30 days before a new price applies, and you can cancel before it takes effect.

If you subscribed before this price was introduced and chose a three-, six- or twelve-month introductory commitment, that commitment is a single term. It does not renew for another discounted fixed term. At the end of it, the subscription continues at the standard rolling monthly price then in force unless you cancel before that date.

3. Your free trial

Every plan starts with a 14-day free trial on your own data. A payment card is taken when you sign up and nothing is charged until the trial ends. The date of the first payment is shown before you confirm and again on the payment page.

We email you 7 days before the first payment. Cancel from Plan & Billing before then and you pay nothing. After the trial, payment is taken monthly on the same date.

Hostaway or Uplisting charge you separately for their own service. Those charges are not part of this subscription.

4. How to cancel

A workspace administrator can cancel at any time from Settings, Plan & Billing. No telephone call, support ticket or approval from us is needed, and you are never asked for a reason.

  • Automatic renewal is switched off immediately.
  • No further renewal payment is taken.
  • Paid access continues to the end of the term you have already paid for.
  • The application and the confirmation email show your final access date.
  • You can reverse a scheduled cancellation at any time before that date.

5. Cancelling a longer commitment agreed before the current price

New subscriptions are monthly only. For a customer who agreed a longer discounted commitment earlier, choosing it does not stop you cancelling the next renewal. It does mean the term you have paid for continues to its scheduled end, subject to the refund rights below.

Cancelling a three-, six- or twelve-month commitment before its end prevents the move to standard monthly billing. If you do not cancel, you move to the rolling one-month plan and can then cancel any future monthly renewal at any time.

6. What the assistant may and may not do

The Short Stay Control assistant may explain this policy, show your final access date, answer questions and collect optional feedback. It cannot cancel or change a subscription, and it cannot decide a disputed charge.

  • It will not hide, delay or replace the self-service cancellation control.
  • It will not require a reason before you cancel.
  • It will not press you to stay subscribed.
  • It will not promise a refund that has not been authorised.
  • A disputed charge, service failure, vulnerability, bereavement, insolvency, accessibility need or possible statutory right is escalated to a person.

7. Refunds

Subscription charges are normally non-refundable once the relevant paid term has started. Cancelling therefore stops the next renewal rather than creating an automatic pro-rata refund for the term you are in.

We may also approve a full or proportionate goodwill refund in exceptional circumstances. Asking for one does not guarantee approval, and every decision records the reason, the amount and who approved it.

  • Duplicate or incorrect charges are corrected or refunded.
  • A renewal taken after an effective cancellation is refunded.
  • A charge made without valid authorisation is refunded.
  • A material failure to provide the contracted service that we could not correct within a reasonable time may be refunded in full or in part.
  • Any amount that must be refunded under applicable law is refunded.

8. The notices you will receive

We intend to send an immediate confirmation when a subscription starts or changes, a reminder 30 days before an introductory term agreed before the current price changes to the standard monthly price and a further reminder 7 days before the first standard monthly charge, an email at least 30 days before any price increase, an email straight away if a payment fails, an immediate cancellation confirmation, and a reminder shortly before access ends.

Every notice states the date, the amount, the commitment period and the direct route to cancel.

9. If a payment fails

If a payment fails, we email the billing contact straight away and Stripe retries the card. If it is still unpaid 3 days after it failed, the workspace is paused until payment is made: every screen except Plan & Billing is closed. Nothing is deleted while a workspace is paused, and it opens again as soon as the payment goes through. If the subscription is later ended for non-payment, closure follows the data process below.

10. Access, export and deletion after cancellation

At the end of the paid term, normal paid access ends and the workspace enters a time-limited read-only closure period. An administrator can export the organisation's available data during it; new imports, AI requests and external writes are switched off; and you are told the scheduled deletion date.

The read-only export period is 30 days. Customer data is then deleted, except invoices and payment records, which UK tax law requires us to keep for 6 years. Backup copies are overwritten within 14 days. If you close your workspace during a free trial, it is deleted within 7 days and no export is provided.

11. Asking for help or a refund

Use the billing page, or email support@shortstaycontrol.com (billing@shortstaycontrol.com for invoices and payments). Identify the workspace and the relevant invoice, and never send full card details by email. We may ask for reasonable information to confirm that you are authorised to act for the organisation.

Cancellation takes effect through the self-service control whether or not you contact us.

12. How payment is handled

Payment card details are held by Stripe, using Stripe-hosted Checkout and the Stripe customer portal. Short Stay Control never receives or stores a complete card number. Card statements will show SHORT STAY CONTROL.
